These Terms & Conditions apply to your use of the Aardvark Bioreserve website and to enquiries, bookings and stays made with Aardvark Bioreserve.
By using this website, making an enquiry, submitting a booking request or confirming a stay, you agree to these Terms & Conditions.
1. About Aardvark Bioreserve
Aardvark Bioreserve is a private nature reserve and accommodation destination located in the Klein Karoo, Western Cape, South Africa. We offer private accommodation, curated food experiences, nature-based activities, game drives, trails, events and retreats, subject to availability.
2. Website use
You may use this website for lawful personal and informational purposes only.
You agree not to:
- use the website in a way that may damage, disable or impair it;
- attempt to gain unauthorised access to any part of the website or related systems;
- copy, reproduce or misuse website content without permission;
- submit false, misleading or unlawful information;
- use the website for fraudulent or harmful purposes.
3. Information on the website
We aim to keep all website information accurate and up to date. However, descriptions, images, rates, availability, facilities, activities and other information may change without notice.
Images are for illustrative purposes and may not always reflect exact layouts, views, furnishings, seasonal conditions or available facilities at the time of your stay.
4. Accommodation and availability
Accommodation is subject to availability at the time of booking.
A booking is only confirmed once we, or our authorised booking platform, have issued written confirmation and any required deposit or payment has been received.
We reserve the right to decline, cancel or amend a booking where necessary due to availability, pricing errors, operational requirements, safety concerns, force majeure events or circumstances beyond our reasonable control.
5. Rates and payment
Rates are quoted in South African Rand unless otherwise stated.
Rates may vary depending on season, accommodation type, number of guests, length of stay, package inclusions and optional extras.
Payment terms, deposit requirements and due dates will be provided during the booking process or on your booking confirmation.
Any bank charges, foreign exchange charges or payment processing fees are for the guest’s account unless otherwise agreed.
6. Booking platforms
Some bookings may be processed through third-party platforms, including NightsBridge. Where a booking is made through a third-party platform, that platform’s own terms, payment conditions and privacy policy may also apply.
In the event of a conflict between these Terms & Conditions and the specific booking terms issued at the time of confirmation, the booking confirmation terms will apply to that booking.
7. Cancellation and refunds
Cancellation terms may vary depending on the accommodation, season, rate type, booking platform or package selected.
Unless otherwise stated in your booking confirmation, cancellation fees may apply. No-shows, late arrivals or early departures may be charged in full.
Refunds, where applicable, will be processed according to the terms of the confirmed booking and may be subject to banking or processing delays.

8. Changes to bookings
Requests to change booking dates, accommodation type, guest numbers or package details are subject to availability and approval.
Additional charges may apply if changes result in a higher rate, added services or increased guest numbers.
9. Check-in and check-out
Check-in and check-out times will be confirmed before arrival or in your booking confirmation.
Early check-in or late check-out may be available by prior arrangement only and may be subject to additional charges.
10. Guest responsibilities
Guests are expected to respect the reserve, accommodation, wildlife, staff, other guests and surrounding environment.
Guests agree to:
- use accommodation and facilities responsibly;
- follow all safety instructions and reserve rules;
- supervise children where applicable;
- avoid disturbing wildlife or damaging natural areas;
- avoid excessive noise or disruptive behaviour;
- report damage, breakages or safety concerns as soon as possible;
- comply with fire, braai, hot tub, pool and trail safety instructions.
We reserve the right to recover the cost of damage, loss, excessive cleaning or missing items caused by guests or members of their party.
11. Nature reserve environment
Aardvark Bioreserve is located in a natural environment. Wildlife, insects, uneven terrain, gravel roads, changing weather, water bodies, open fires, hot tubs, swimming pools, hiking routes and mountain biking trails may present inherent risks.
Guests enter and use the reserve, facilities, trails and activity areas at their own risk, subject to applicable law.
Guests must follow all instructions provided by Aardvark Bioreserve staff and guides.
12. Activities and experiences
Activities such as game drives, hiking, mountain biking, food experiences, events and retreats may be subject to availability, weather, guide availability, minimum numbers, safety considerations and seasonal conditions.
We may cancel, postpone or amend activities where necessary for safety, conservation, weather or operational reasons.
Guests are responsible for ensuring that they are physically able to participate in selected activities.
13. Food, dietary requirements and allergies
Aardvark Bioreserve may offer curated food, farm-to-table produce, prepared dishes or related hospitality services.
Guests must inform us of dietary requirements, allergies or medical food restrictions before arrival. While reasonable care will be taken, we cannot guarantee an allergen-free environment.
14. Children
Children may be welcome in selected accommodation and areas, subject to the specific accommodation rules and booking conditions.
Parents or guardians are responsible for supervising children at all times, especially near pools, hot tubs, fireplaces, braai areas, dams, wildlife areas, trails and other outdoor spaces.
15. Pets
Pets are not permitted unless expressly agreed in writing before arrival.
16. Smoking, fires and environmental care
Smoking may only be permitted in designated outdoor areas, if any.
Because the reserve is located in a sensitive natural environment, guests must exercise extreme care with fires, braais, fireplaces, candles, cigarettes and any flammable items.
Guests may not litter, remove plants, disturb animals, feed wildlife or damage the natural environment.
17. WiFi, utilities and services
WiFi, electricity, water, heating, cooling and other services may be provided where available. Due to the reserve’s location, services may occasionally be affected by weather, outages, maintenance, load shedding, connectivity issues or circumstances beyond our control.
We will take reasonable steps to resolve interruptions but cannot guarantee uninterrupted availability of all services.
18. Limitation of liability
To the fullest extent permitted by law, Aardvark Bioreserve will not be liable for any loss, injury, damage, delay, inconvenience, expense or claim arising from:
- use of the website;
- inaccurate or outdated information on the website;
- third-party booking platforms or websites;
- guest negligence or failure to follow instructions;
- wildlife, natural hazards or outdoor activities;
- weather, road conditions, power failures or service interruptions;
- theft, loss or damage to personal belongings;
- events beyond our reasonable control.
Nothing in these Terms & Conditions excludes liability where such exclusion is not permitted by law.
19. Personal belongings
Guests are responsible for their own personal belongings, vehicles and valuables. Please take reasonable precautions and do not leave valuables unattended.
20. Intellectual property
All website content, including text, images, logos, graphics, layout, design and branding, belongs to Aardvark Bioreserve or its licensors unless otherwise stated.
You may not copy, reproduce, distribute, modify or use any website content for commercial purposes without prior written permission.
21. External links
This website may include links to third-party websites, booking platforms, social media pages, video platforms or partner websites. We are not responsible for the content, availability, policies or practices of third-party websites.
22. Privacy
Your use of this website and any personal information you provide to us is governed by our Privacy Policy.
23. Force majeure
We will not be liable for failure or delay in performing our obligations where such failure or delay results from events beyond our reasonable control, including but not limited to natural disasters, severe weather, fire, flood, drought, pandemic, government restrictions, labour disruption, power failure, road closures, civil unrest, or interruptions to essential services.
24. Governing law
These Terms & Conditions are governed by the laws of the Republic of South Africa.
Any dispute arising from these Terms & Conditions, website use or bookings will be subject to the jurisdiction of the South African courts, unless otherwise required by law.
